This is a remote position.

We are seeking a highly organized and detail-oriented Remote Document Controller Clerk to manage, store, retrieve, and track digital documents across departments and teams. The role involves ensuring documents are correctly labelled, stored, version-controlled, and accessible to relevant personnel while maintaining confidentiality and compliance with company and legal standards.

Key Responsibilities:

Receive, register, review, and store digital documents in an organized and secure manner.

Ensure proper naming conventions, version control, and metadata tagging of documents.

Track document statuses (submitted, approved, revised, archived) and maintain logs or registers.

Retrieve documents as requested by staff or managers and ensure timely distribution.

Maintain document control procedures and ensure compliance with company standards.

Regularly audit document systems for accuracy, completeness, and redundancy.

Provide access permissions and manage document confidentiality levels.

Collaborate with other teams (HR, Legal, Engineering, Procurement, etc.) to ensure correct documentation workflows.

Train staff on document handling and file management best practices as needed.

Back up digital files and ensure disaster recovery protocols are followed.

Requirements

Required Skills and Qualifications:

Matric certificate or equivalent (a diploma in Office Administration, Records Management, or related field is preferred).

1–2 years of experience in document control, administrative, or clerical roles.

Proficiency with Microsoft Office (especially Word, Excel, Outlook) and document management software (e.g., SharePoint, DocuWare, M-Files, Google Workspace).

Excellent attention to detail and organisational skills.

Strong understanding of file systems, naming protocols, and digital security.

Ability to maintain confidentiality and handle sensitive documents with care.

Strong communication and time management skills.

Self-disciplined and able to work independently in a remote setup.
