Swag Coordinator (Volunteer)

Position Summary:

We are seeking a dedicated and organized Swag Coordinator to manage our branded merchandise needs. The Swag Coordinator will oversee the entire swag process—from design and ordering to distribution and inventory management. This role offers a unique opportunity to shape how our brand is represented across internal and external channels while working in a collaborative, innovative, and flexible environment.


Responsibilities:

  • Develop and execute a swag strategy that reflects our brand’s values and enhances both employee and client experiences.
  • Coordinate with HR, Marketing, and Events teams to identify swag needs for onboarding, team events, and external promotions.
  • Source and manage vendor relationships to ensure cost-effective, high-quality products that align with brand standards.
  • Track and manage inventory, ensuring popular items are readily available and reorder points are maintained.
  • Collaborate with design teams to develop custom, on-brand swag items that resonate with our audiences.
  • Oversee packing and shipping logistics for swag, ensuring timely delivery and high accuracy.
  • Maintain an organized record of all orders, costs, and inventory for easy reporting and budgeting.
  • Conduct periodic feedback surveys to assess swag impact and collect ideas for new items.
  • Develop and maintain SOPs (Standard Operating Procedures) for swag management to train future coordinators.


Qualifications:

  • Experience in marketing, branding, events, or project management, with a focus on branded merchandise or swag management a plus.
  • Excellent organizational and project management skills, with the ability to manage multiple initiatives simultaneously.
  • Strong communication skills, with the ability to collaborate effectively across teams and with vendors.
  • Proficiency with basic budgeting and cost-tracking, and experience with Google Workspace.
  • Creative and detail-oriented with a passion for creating memorable brand experiences.
  • Ability to work independently and as part of a diverse team, maintaining high responsiveness through Slack, email, and virtual meetings.

Expectations:

As a member of our team, you will work closely with leaders across various departments. We ask all team members to commit to a minimum of 10 hours per week and to maintain high responsiveness through Slack, email, and conference calls. Additionally, we request a minimum commitment of 12 months to ensure continuity and meaningful contributions to our mission.
