Job Description

We are seeking a detail-oriented and highly organized Part-Time Administrative Assistant to support our dynamic team. This role is perfect for someone who enjoys working with QuickBooks for invoicing, has experience with school bus transportation contracts, and thrives in administrative tasks. Whether you prefer working remotely full-time or part-time, this opportunity offers flexibility and the chance to contribute to smooth daily operations and accurate financial management.

Key Responsibilities:

Invoicing & Financial Management:

Process QuickBooks invoices on a monthly basis or as needed.
Track payments and follow up on overdue invoices.
Keep accurate records of invoicing and payments.
School Districts & Contracts:

Reach out to school districts regarding potential contracts and bids.
Scheduling & Coordination:

Manage student and driver schedules to ensure proper shift coverage.
General Administrative Support:

Respond to emails and phone calls promptly.
Schedule and coordinate meetings and appointments.
Create and maintain spreadsheets, reports, and other necessary documents.
Organize and maintain company records and files.
Support the team with various administrative tasks to improve office efficiency.
Additional Responsibilities:

Answer incoming phone calls and direct them to the appropriate team member.
Organize meetings, take minutes, and ensure timely follow-ups.
Write and distribute emails, memos, and letters.
Assist with the development of company reports.
Ensure an organized filing system is maintained.
Contribute to updating and maintaining office procedures.
Qualifications:

High school diploma or GED required; Associate's degree or administrative training is a plus.
Previous experience as an Administrative Assistant or in a similar role is preferred.
Comfortable using office equipment such as printers and fax machines.
Strong computer skills, especially in Microsoft Word, Outlook, and PowerPoint.
Highly organized, with excellent time management skills and the ability to prioritize tasks effectively.
