LOCATION: Onsite, M-F
SUMMARY: Coordinate operational and logistical support for the events managed by the Office of Advancement, particularly on-site. The Advancement Events Coordinator will work collaboratively with the Assistant Director, Ring of Freedom and Advancement Staff to distribute operational and logistical information to donors, prospects, guests and staff in a timely manner as events are planned.
ESSENTIAL RESPONSIBILITIES AND DUTIES:
1. Work collaboratively with the Assistant Director, Ring of Freedom, to plan and execute high caliber internal and external events for the Office of Advancement that positively influences major donor activity. This includes but is not limited to galas, summits, fundraisers, webinars, receptions and specialty VIP events.
2. Maintain the master events calendar for the Office of Advancement. Assist with development and management of event timelines, checklists, and production schedules to ensure that the planning process stays on track throughout the year.
3. Serve as the Office of Advancement point of contact for all event logistics, on-site staff, vendors, sponsors, and partners. Collaborating with internal and external NRA staff to ensure event success by communicating details and logistics proactively.
4. Work with Office of Advancement event stakeholders to identify event needs and coordinate venue selection, contracts, permits, catering, AV, decor, and transportation.
5. Coordinate with the Assistant Director, Ring of Freedom, to ensure that each event has clear objectives and is appropriately themed with corresponding messages consistent with invited guests, speakers, and goals.
6. Work with the Office of Advancement's finance department to evaluate all events against goals and budget by tracking event expenses, assisting with processing vendor payments, and creating post event summaries.
7. Assist with coordinating the development of meetings and meeting materials (e.g., welcome packets, name badges, signage, and meeting agendas, etc).
8. Provide hands-on event support during event set-up, execution, and breakdown.
9. Perform other duties as assigned.
EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES:
Required:
1. An understanding and appreciation for the mission of the NRA.
2. Must pay high attention to detail.
3. Exceptional personal and professional integrity.
4. Able to travel to provide support at events.
5. Ability to work quickly and effectively with frequent interruptions resulting in the need to reprioritize projects while maintaining high work quality.
6. Ability to multi-task with minimal supervision.
7. Highly organized and able to help others organize to follow-up and complete tasks.
8. Ability to maintain strict confidentiality with information.
9. Highly proficient in MS Office applications to include Word, Excel, PowerPoint and Outlook, Teams, and SharePoint with ability to learn additional programs as needed to increase efficiency.
10. Flexible, adaptable, and able to work beyond normal working hours with short notice.
11. Exceptional grammar, writing and communication skills.
Preferred: 1. Two- or four-year college degree.
2. Experience in an association or the hospitality industry.
3. Knowledge of NRA and high-level fundraising.
4. Experience with Cvent
