POSITION SUMMARY:
Under general supervision provides support to assigned school with the effective and efficient operation within various functions (guidance, registrar, etc.); performs and coordinates varied and responsible clerical services. Acts as a liaison with internal and external contacts (parents, community, etc.) within the District. This position reports to the Principal.
KEY JOB RESPONSIBILITIES:
Performs a full range of office assistant/receptionist duties; answers telephone/greets visitors, makes appointments, processes necessary paperwork, prepares minutes as needed; set up and maintain filing systems; set up work procedures, arranges and confirm appointments, handles incoming mail and other materials). Maintain teachers/ substitute teachers' records.
Registers and enrolls all new students. Requests records from other schools; completes the required paperwork to transfer student records to other schools; Prepare official school transcripts, submits transcripts and or health records upon request for all students (former and present), for job applications, etc. (as applicable). Assists with report card duty grade reporting.
Assists with student registration; prepares and processes test materials, reports cards as necessary. Creates and maintains cumulative student files; Oversees all withdrawals prepares the paperwork required to withdraw or transfer students including attendance records, grades, etc.
Responds to requests for records, attendance, etc. received from schools, individuals, and community agencies, (i.e. police, social services, social security and various community agencies).
All other duties, as assigned and required, in order to perform the above services.
KEY JOB REQUIREMENTS:
High School Diploma or GED required.
Minimum of two (2) years of responsible clerical experience; service with school age children desirable.
Makes administrative decisions which affect internal operations of the school.
Light independent judgment is necessary. Decisions made on an as-needed basis to establish operation of the office.
Requires regular contact with internal and external personnel within department. Verbal, written, and interpersonal skills required.
Applies, recommends and implements technology knowledge (spreadsheets, word processing, and database management) concepts to improve the effectiveness of the Department.
Normal office setting in a school.
Light duty - On most occasions sitting at a desk or table; intermittently sitting, standing, or stooping.
NOTE: This is a grade 17, 195-day position that pays for experience up to a Step 4.
